You’re Accepted! Now What?

Pre-Arrival Information
Congratulations!  You’ve been accepted to the University of Tulsa as an exchange student. 
 
At this point you will have received an official letter of acceptance, welcome packet, the DS-2019 immigration document, and other necessary materials from the CGE.

Below you will find step-by-step information on what you need to do now. If you have any questions or are having trouble accessing and/or submitting any of these documents feel free to contact Wendy Sheets at the CGE.  Be sure to read over all materials very carefully and complete necessary forms in a timely manner.

Step 1- Immigration Requirement
After receipt of the packet and the DS-2019, you will be ready to apply for the J-1 exchange visitor visa. You must make an appointment with the nearest U.S. consulate in your home country and follow their procedures for application.  Keep in mind that this process may take some time so it is suggested that you begin early and make certain all immigration documents are accurate and complete.

Step 2- Enrollment
Prior to your arrival at TU you will need to fill out and submit an intent to enroll form via e-mail, post or fax. You can find this form here.

Step 3- Housing & Dining
Complete your housing and dining application and return it along with the $250 refundable housing deposit. 

Please note that when living in a residence hall you will be required to purchase a meal plan. Campus apartment and Language House residents are not required to purchase a meal plan, but for those wanting a meal plan there are a variety of options to choose from.

You may submit your Housing & Dining application and personal check via post to the Housing & Dining Office. When submitting your application if you are not including a personal check for your deposit, please notify the Housing & Dining office of your form of payment.

Making Payments
You may use the following methods to pay the University of Tulsa:

Personal checks (sent with Housing & Dining application and made payable to “The University of Tulsa”)

Credit cards (VISA, MasterCard, and Discover accepted)

All credit card payments can be made at the Business Office or on-line via a secure site on the Internet.  See the following website to make secure on-line credit card payments

For the safety and assurance that your payment is collected, please do NOT send cash.

Determining Exact Costs
Your exact costs will be determined by the university after you have enrolled and after you have selected your room and board options.  In addition, if you enroll for the university health insurance plan, this exact amount will be determined after you select options and sign up for such coverage in the Office of International Student Services.

See the “Approximate TU Costs” section of this website for an estimate of costs.  You will need to reference the Housing/Dining Rate Schedule links to determine your room and board charges. You will only be required to pay charges for one semester at a time (not the entire academic year).

Step 4- Health (Insurance, Requirements and TU Health Services)
The Exchange Visitor Program (J-1 visa) requires students to have adequate accident and medical health insurance coverage in effect for the entire duration of the academic program in the U.S.  Failure to comply with this policy will result in the termination of your exchange program.

Minimum Coverage – (1) medical benefits of at least $50,000 per person per accident or illness; (2) repatriation of remains in the amount of $7,500; and (3) expenses associated with medication evacuation in the amount of $10,000.
Additional Terms – the policy should not have a deductible that exceeds $500 per accident or illness.  

The University of Tulsa permits exchange students to provide their own health and medical insurance as long as it meets the above mentioned federal requirements.  If you have insurance which will cover you while studying in the U.S., you must bring the company name and policy, written in English, with you as proof when you check in at ISS.

If you are unable to secure adequate insurance which meet these requirements, you can purchase health insurance through the university’s health insurance provider.

For the 2008-2009 academic school year, the costs will be $984 per student per year ($492 if you are staying for one semester only).  You may access insurance information as well as information regarding TU’s Health Center and services provided by visiting this web site.

Immunization Requirement
Current Oklahoma state law requires all students who attend Oklahoma colleges and universities and who live in on-campus housing to provide proof of immunizations for certain diseases.   Some exemptions are allowed by law and such requests must be made in writing.

Step 5- Travel
After you’ve made flight arrangements to Tulsa, please email your itinerary to Wendy Sheets, Assistant Director, at least 5 days in advance of your arrival. 

Please fill out the International Exchange Student Travel Itinerary & Transportation Request Form and submit it via post, e-mail, or fax so that our office can make arrangements to give you transportation to campus. Download the form here.

Tulsa International Airport (airport code: TUL) is served by most major airlines and is located approximately 6 miles from the TU campus. If for any reason arrangements cannot be made to pick you up or if you miss your ride, you can easily take a taxi to campus which will cost approximately $12.
